Accept Scheduled Chats with Representatives

If you are invited to a Scheduled Chat, congratulations! This means that a Representative participating in an upcoming event has identified you as someone whom they would definitely like to meet.

Scheduled Chats are automatically facilitated one-on-one connections between Representatives and specially invited Attendees — like you! — at preset time slots during the event. Scheduled Chats give you the opportunity to have enhanced connection and control over your event experience:

  • Skip the Line — A Representative is providing you with their availability to schedule a chat. Simply select the time that works for you in just one click.
  • Connect Seamlessly & Safely — No more running around to find a meeting room. No more juggling multiple virtual meeting links. No need to wait in line to chat. Simply log into the event. When it is time for your Scheduled Chat, you will automatically be placed in a one-on-one conversation from the comfort and safety of your own space.

Before the Event

First and foremost, make sure that your profile, registration information, and resume (if applicable to the event) are up-to-date and clearly convey your strengths and objectives. This allows Representatives to discover you and increases your chances of receiving invitations for Scheduled Chats.


How to Schedule a Chat with a Representative

Simply follow the link provided in the email invitation for a Scheduled Chat:

When you sign into the event, you will automatically be prompted to select an available time slot for a Scheduled Chat with that Representative.

If ever you want to access your Scheduled Chat schedule and Pending Invites to Scheduled Chats, select Your Schedule below your profile information in the top-left navigation.

If you are unable to make the available times and decline an invitation, you will be provided the opportunity to leave a message for the Representative.

If the Representative has no more Scheduled Chat time slots available, you will be provided the opportunity to leave a message for the Representative.

Your Scheduled Chat schedule is automatically managed by Radancy, so you will never run the risk of double booking Scheduled Chats for a given time slot.

 

Rescheduling or Canceling Scheduled Chats

If you need to cancel or reschedule a Scheduled Chat, in Your Schedule, select Manage, and click the chat you’d like to edit, and select a new time. To cancel, click Cancel.

You are prompted to include a reason why you are canceling, which is not shared with the Representative you were scheduled to meet with.

You are also given the opportunity to leave a separate note for the Representative, which is visible to the Representative in their schedule.

You may also receive a notice from a Representative asking if you will reschedule the chat, or that you have been assigned to chat with a different Representative at the same time, or at a new time. In these cases, an email sent to you will indicate the changes.

During the Event

How to Enter Scheduled Chats

Simply sign into the event and Radancy will automatically facilitate the chat between you and the Representative. When it is time for your Scheduled Chat time slot, you will be prompted to Chat Now.

If you want to focus on your Scheduled Chat, set your Chat Availability in the Lobby sidebar to Away. This will prevent you from being entered into Booth Chats for which you are in line for.

Chat Availability does not apply to Scheduled Chat. You will always be entered into Scheduled Chats if you are in the event during the Scheduled Chat time slot.


What if I am late to a Scheduled Chat?
As long as you enter the event before the designated end time of a Scheduled Chat appointment, you will still be entered into your Scheduled Chat for the full duration of your scheduled chat.

What if I miss my Scheduled Chat? It happens! Even if you missed your Scheduled Chat appointment, there will be more opportunities to connect with other Representatives at the event. We recommend exploring the different booths and connecting with other Representatives.

Sign into at least 5 minutes earlier than your Scheduled Chat start time in order to ensure that you are comfortable on the platform and settled in.

 

Enjoy the Event!

In addition to your Scheduled Chat, you are able to explore all the event booths and participate in booth chats, which means you can connect with any booth’s Representatives if you get in line to chat with them during the live event.

You may potentially be entered into both Scheduled Chats and Booth Chats. If you would like to prevent being entered into Booth Chats during Scheduled Chats, make sure to set your Chat Availability to Away.
