Once job reqs have been assigned to you, or you’ve claimed job reqs yourself, job seekers will be able to chat with you via QuickChat.
Once a new chat is initiated, the conversation appears on your Chats page in Candidate Engagement Hub (CEH). Depending on your notification settings, you’ll get a desktop notifier, hear a chime, or receive an email anytime you’re connected with a candidate.
From within Chats, you can view and edit a job seeker’s contact information, as well as view their resume if they have uploaded one. Since many job seekers are viewing your job reqs and chatting with you on a mobile device, we do not require a resume upload to enter a chat. However, during the chat, they have the option to upload a resume at any time.
Here you can make notes about the candidate, view their knockout question answers, and job req details.
Chat with more than one candidate at the same time by toggling your conversations on the side of your active chat window.
Chat in More than One Conversation Simultaneously
If needed, you can simultaneously conduct QuickChats and chats with attendees within a live event. Select View Events in CEH to view all current and upcoming events you have been assigned to as a Representative.
To return, click Engagement Hub in your top menu in Hiring Events Admin.
After a Chat Ends
Click End Chat at the top of your live chat window when you are finished chatting with a candidate. Then, decide how you would like to proceed with them by selecting a Next Step.
Then, click Finished, or Follow Up.
Once you select Finished, the transcript of your conversation, as well as their resume if uploaded, Next Step, and any notes you added will be available in History. There, you can sort by the Next Step that you chose, the date on which the chat took place, or by Candidate Name. You can also export a .CSV with the same information and use it to add quality candidates to your ATS or CRM.
Follow up options include:
- Email: Send an email directly to the candidate and send a copy to yourself
- Forward: Pass the candidate’s profile along to someone else within your organization, and optionally their resume or your chat transcript.
- Schedule a Followup: Send the candidate a link to your public calendar to set up a time to reconnect with you, and send a customizable follow-up message.
The QuickChat Candidate Perspective
When a job seeker lands on one of your job req pages, if it is assigned to a recruiter, they see the Job Req Assistant plugin display in the lower right corner of the page after a few seconds.
When they click Chat Now, the chatbot asks them for their name and email, and the option to enter their phone number to receive text messages. Then, it presents any knockout questions that have been added to that job req.
If there are no knockout questions, or they provide all the desired responses to those questions, they are connected with one of the available assigned recruiters to chat.
If they do not, a “sorry” message, customizable by your Administrator, is displayed instead.
If the recruiter is not available to immediately chat about the job, the candidate sees their away message with an option to leave a note for them, and if they chose to share their phone number they receive a text update once the recruiter responds.
As soon as a recruiter sees this message and replies, the job seeker receives an email (as well as a text, if they've provided their phone number) with a link to a new landing page where the job seeker can continue chatting with the recruiter.
When a chat ends, if there is an associated Apply URL for the position, the job seeker is shown a link where they can apply for the job they were chatting about.
