Manage Access for the Candidate Engagement Hub (CEH)

The Candidate Engagement Hub (CEH) gathers all of your organization's candidates and interactions with them in one place, whether they came from a Hiring Event, QuickChat, or a Virtual Engagement Center (VEC).

After entering CEH, users can click on Candidates in the CEH sidebar to search for and view candidates associated with your organization.

Radancy Administrators can control CEH access for individual users, as well as restrict access to specific sets of candidates.

Manage Individual User Permissions

To manage an individual Radancy user's status and permissions:

  1. From Account Home, click Users in your sidebar menu.
  2. Click User List
  3. Click the meatball menu baseline_more_vert_black_24dp.png next to the user you wish to modify.
  4. Select a seat or access level, or remove the user. Changes are automatically applied.

There are three individual user access levels for CEH:

  • Enable Candidates Access lets users see Engagement Hub displayed in their top Hiring Events Admin menu and access CEH.
  • Enable All Candidates Access additionally grants access to the All candidates tab within CEH.
  • Enable Manage Candidates Access allows users to Bulk Import registrants to CEH.

The All candidates tab is currently only available as an option for Radancy Administrators and User Seat holders.

exclamation-circle-45px.png The Manage Candidates Access permission depends on that user's access to the Candidate Engagement Hub. If they do not have Candidates Access permissions, the option to grant them this access will not appear.

You may also select multiple users and apply permissions in bulk:

  1. Click the checkbox next to user names.
  2. Select Actions at the top of the table.
  3. Select the seat or access level you wish to apply or remove users. Your selection is immediately applied to those users.


Manage Event Staff Permissions

Users with specific user roles, such as Representative, Booth Owner, Live Video Broadcast or Group Video Host, and Live Video Broadcast Presenter, can be granted access to one or more CEH tabs by Radancy Administrators.

 

Candidate Tabs

There are three tabs on the Candidates page in CEH:

  • My candidates shows candidates with whom you have shared a one-to-one virtual chat or have connected with in an in-person event.

  • Event candidates shows all candidates that have registered, signed up, or attended any event you are assigned to. This is particularly useful if you host Expo-type events that have Representatives and Booth Owners from multiple organizations.

  • All candidates shows all candidates that have records associated with your organization.

The Candidates page, All candidates, Event candidates, and My candidates only show candidates from one organization at a time. If your user account is linked to multiple organizations in Radancy, you can view candidate information from another organization by using the Select Account dropdown menu in the upper right corner.

Control Tab Access

To control user role tab access in CEH:

  1. From Account Home, click Users in your sidebar menu.
  2. Click Manage Access.
  3. Select one of three options for each user role: My Candidates, Event Candidates, or None.
  4. Click Save.

By default, Representative and Booth Owner are set to 'Event Candidates', and Live Video Broadcast or Group Video Host and Live Video Broadcast Presenter are set to 'None.'

All candidates tab access may not be set up from the Manage Access page. It is only available as an option for individual users via the User List page.


Refer to the table below to see what each user role can see in CEH according to their set permissions, as well as what specific tab access can be granted at the Account or User level for that user role.

Manage Email Communication History Access

To further tailor CEH user views, Radancy Administrators may grant event staff access to a listing of each candidate's email communication history under the Communication tab within a candidate profile. These are email communications sent through CEH, the Hiring Events Admin, or the organization's events, including:

  • Send Custom Email
  • Forward Candidate
  • Schedule Follow-up
  • Invite to Booth
  • Invite to Schedule a Chat
  • Cancel Scheduled Chat
  • Reassign Scheduled Chat
  • Reschedule Scheduled Chat

The content of each email sent to the candidate, including the Subject, is unavailable and can not be viewed by any user.

Manage Bulk Email Limits

Based on their specific needs, Radancy Administrators may decide how many Bulk Emails their users can send at once. Let your representatives work more efficiently by sending larger numbers of follow-up emails at one time, or for Expo events, limit your exhibitors to lower numbers to reduce the chance of sending candidates spam emails.
